Sending Professional Invoices in Zimbabwe: VAT, Currencies & Getting Paid
How to send professional invoices in Zimbabwe — what to include, handling VAT and multiple currencies, payment terms, and getting paid faster.
If you run a business or work for yourself in Zimbabwe, how you invoice affects how fast — and whether — you get paid. A clear, professional invoice looks trustworthy, prevents disputes, and makes it easy for clients to pay. Here's what good invoicing looks like.
What every invoice must include
- Your business name and contact details (and logo if you have one).
- The client's name and details.
- A unique invoice number and the date issued.
- A clear list of items or services, with quantities and prices.
- The subtotal, any VAT, and the total due.
- Payment terms — when it's due and how to pay.
- Your banking or mobile-money details.
Missing any of these is a common reason invoices get queried or delayed.
Handling VAT
If your business is VAT-registered, your invoice should show VAT clearly — the rate, the VAT amount, and your VAT/business numbers. Even if you're not registered, presenting totals cleanly signals professionalism. Keep copies of every invoice for your records and tax purposes.
Multiple currencies
Zimbabwe's multi-currency reality means you may invoice in USD, local currency, or both. Good practice:
- State the currency clearly on every line and the total.
- If you accept more than one, make it obvious which the client should pay in.
- Be consistent so there's no confusion at payment time.
Payment terms that get you paid faster
- Set clear terms: "Due on receipt," "Net 7," "Net 14," etc.
- For larger jobs, consider a deposit upfront and the balance on completion.
- Send the invoice promptly — the sooner it lands, the sooner you're paid.
- Send a polite reminder as the due date approaches.
Make it easy to pay
The easier you make payment, the faster it comes. Include mobile-money and bank options, and — best of all — a pay-by-link so clients can pay online in a couple of taps. Removing friction removes excuses.
