What every invoice must include

  • A clear list of items or services, with quantities and prices.
  • The subtotal, any VAT, and the total due.
  • Payment terms — when it's due and how to pay.
  • Your banking or mobile-money details.

Handling VAT

If your business is VAT-registered, your invoice should show VAT clearly — the rate, the VAT amount, and your VAT/business numbers. Even if you're not registered, presenting totals cleanly signals professionalism. Keep copies of every invoice for your records and tax purposes.

Multiple currencies

Zimbabwe's multi-currency reality means you may invoice in USD, local currency, or both. Good practice:

  • State the currency clearly on every line and the total.
  • If you accept more than one, make it obvious which the client should pay in.
  • Be consistent so there's no confusion at payment time.

Payment terms that get you paid faster

  • Set clear terms: "Due on receipt," "Net 7," "Net 14," etc.
  • For larger jobs, consider a deposit upfront and the balance on completion.
  • Send the invoice promptly — the sooner it lands, the sooner you're paid.
  • Send a polite reminder as the due date approaches.
